1. Passport & Visa Policy
- ● You must hold a valid passport with at least 6 months’ validity from your intended date
of travel (8 months is recommended).
● If your passport has less than 6 months of validity, a visa for Umrah to Saudi Arabia cannot be issued, and even you will not be allowed to travel on a visa on arrival.
● All visa applications must be submitted on time with the required documents, including passport copies, recent passport-sized photographs with a white background, and valid immigration status or residency permits for non-UK nationals (including share codes, where applicable). If any additional documents are required for visa processing, the customer is liable for providing them promptly to the consultant.
● Processing of visas is dependent on the Saudi authorities. Umrah Makers cannot guarantee approval or timely issuance and is not responsible for costs arising from rejection or delays.
● Any last-minute changes in visa policy by the Saudi government are beyond our control, and no refunds will be made for services already booked (flights, hotels, or packages).
● Non-Muslim names require an Islamic certificate from a Mosque/Islamic Centre confirming Muslim identity.
● As per the Islamic Law, Female travelers are still not allowed to travel without being accompanied by a Mahram (husband, father, brother, or legal guardian). In line with the current regulations now the Saudi Hajj Ministry now permits women to perofrm Umrah alone but Islamically it is still not allowed.
● As we are just a service provider, this is the passenger’s responsibility to check the travel requirements of the destination.
2. Flights & Ticketing
- ● Flight tickets must always be reconfirmed at least 72 hours before departure.
● Airline schedules can change if there is any unfavorable circumstance unfolding (For Instance, Covid-19); Umrah Makers is not responsible for delays, cancellations, or rescheduling by airlines.
● Ticket price is subject to change and can only be guaranteed when issued. Deposits secure your seat but not the price.
● In case of errors on your invoice or e-ticket, notify us immediately. Your delay in reporting back the error or mistake may limit our ability to assist. If the passenger fails to acknowledge the mistake on the ticket/invoice on the day of issuance, Umrah Makers will not be responsible. The corrections on the ticket and invoice will be advised as per the policy.
● Travel insurance is strongly advised to cover unforeseen flight disruptions or cancellations.
● The client must arrive 3 hours before the departure of the flight, in case he can’t make it on the flight due to unforeseen reasons company will not be responsible. And all the services issued with the flight will be non-refundable and non changeable.
● Any flight upgrades, date changes, refunds, or cancellation requests will be processed according to the airline’s policy. Customers are advised to remain patient, as airlines may take some time to respond to these requests.
● If the airline cancels your flight or changes the schedule, the company will not be held responsible. We will, however, do our best to assist you based on the schedules advised by the airline.
3. Hotels & Accommodation
- ● Hotels are booked based on standard international check-in and check-out times. Special
requests (e.g. early check-in, specific room views) must be made at the time of booking and cannot be guaranteed.
● If your chosen hotel is unavailable, Umrah Makers reserves the right to provide alternative accommodation of similar standard.
● Triple/Quad rooms typically include standard twin beds plus extra rollaway beds. Extra beds may not be the same size or comfort as standard beds.
● Hotels are supplied through independent providers. If airline changes affect your stay, we cannot be held liable for unused hotel nights.
● If you fail to arrive at the hotel due to unforeseen circumstances and do not inform us in advance, the hotel will consider your reservation as a no-show. In such cases, your booking may be cancelled, and any payments made may be non-refundable, in accordance with the hotel’s policy.
● In the unlikely event that the booked hotel is unable to accommodate you due to high demand, overbooking, or other unforeseen circumstances, the hotel will provide an alternative arrangement of a similar standard. Please note that acceptance of the alternative accommodation is required, and our company cannot be held responsible for such changes as they are beyond our control.
4. Deposits & Payments
- ● A deposit of at least 50% which is part of the payment is required to confirm any booking.
● Full balance must be paid by the due date mentioned in your invoice or advised by the consultant.
● If payment is not received by the due date, the booking may be cancelled, the deposit may be lost, and extra fees could apply.
● Deposits secure seats but not prices; fares may increase if full payment is delayed.
5. Baggage Allowance
- ● Baggage policies are determined by airlines and vary depending on carrier and ticket
type.
● All personal items are the passenger’s responsibility throughout their journey.
● Our company is not responsible for any loss, damage, or delay of baggage at the airport. In the event of such an issue, we will provide assistance by helping you communicate with the respective airline; however, the responsibility for resolving the matter rests solely with the airline.
6. Cancellation & Refund Policy
- ● Deposits and tickets are non-refundable.
● If you request changes or cancellations after booking, additional charges will apply according to airline or supplier policy.
● Refunds (if any) are processed according to the airline/supplier rules and may take 30–40 working days.
● If any of your package services (hotel, transport, meals, etc.) are unused, they will be strictly non-refundable.
7. Complaints
- ● Our dedicated team always tries to resolve the concerns promptly and fairly. If you
experience a problem, please inform our local representative or contact us immediately.
● Formal complaints must be submitted in writing within 21 days of the incident or 7 days of your return. Complaints received after this period may not be considered.
8. Travel Insurance
- ● We strongly recommend all clients arrange adequate travel insurance to cover health issues, cancellations, flight disruptions, or lost baggage.
● Insurance is your responsibility; Umrah Makers is not liable for losses where insurance is not taken.
9. Health & Vaccinations
- ● Pilgrims must ensure they are medically fit for travel.
● Saudi authorities require specific vaccinations (e.g. Meningitis) for visa issuance. Proof of vaccination must be submitted before departure.
● We recommend consulting your doctor well in advance of travel.
● If, in the future, the Kingdom of Saudi Arabia requires any vaccinations for pilgrims, it is the responsibility of each traveler to obtain the necessary vaccines. You may consult with us for guidance, and we will assist you with the required information; however, compliance with health regulations remains the sole responsibility of the pilgrim.
10. Check-In Guidelines

● Not all services are ATOL protected; please check your invoice and certificate for details.
